
The Patients module is the heart of your CAPS28 dental practice management system. It holds a complete, searchable register of everyone who has ever visited your clinic, and it is the starting point for almost every task you perform during the day — booking an appointment, recording a treatment, raising a bill, or simply checking a phone number before you call someone back. If you learn only one screen in CAPS28, make it this one.
Open the Patients list by clicking Patients in the top navigation bar. The screen loads with your full patient register and a search box, ready for you to find a record or start a new registration.
What the patient list shows you
Each row in the list is one patient and gives you the key facts you need without opening the full record:
- Name, age and gender — so you can confirm you have the right person.
- Mobile number — used for appointment reminders and recall messages.
- Last visit and last procedure — a quick history at a glance.
- Doctor and next visit — who they saw and when they are due back.
- Balance — any outstanding amount the patient owes the clinic, highlighted so overdue accounts stand out.
Actions you can perform on the Patients page
- Search for a patient — type a name or mobile number into the search box to filter the list instantly. See Search & open a patient record.
- Add a new patient — click Add Patient to register a temporary or permanent patient. See Register a new patient.
- Open the Photo Gallery — the gallery icon opens clinical photographs collected across all patients and grouped by procedure, useful for before-and-after comparisons and case presentations.
- Change the Sort Setting — the settings icon lets you decide how the list is ordered, for example alphabetically by Name or numerically by Patient ID, so the list matches the way your front desk works.
- Use the row shortcuts — jump straight to a patient’s Treatments or Accounts without opening the full record first.
- Open a full patient record — click the patient’s name to open the complete patient record, with every examination, document, radiograph, prescription and message in one place.
Tips for a tidy patient register
- Always search before you add a patient, so you do not create duplicate records for the same person.
- Keep mobile numbers accurate — automated reminders and recalls depend on them.
- Use the balance column to spot patients with outstanding payments before their next appointment.
List tools: sort & photo gallery
Two icons above the patient list give quick control over it:
Sort Setting
The gear icon opens Sorting — choose whether the list is ordered by Patient Name (alphabetical) or Patient Id (most recently added first), then Submit. Your choice sticks for the list.

Photo Gallery (browse by procedure)
The person-in-frame icon opens the practice-wide Photo Gallery. Pick a procedure from the dropdown and CAPS28 shows the clinical photos captured for that procedure across all patients in a lightbox — handy for before/after comparisons and case discussion. (Photos are added from each patient’s own Photo Gallery tab and linked to a procedure there.)
