Store and request patient documents.

Uploading or requesting a patient document in CAPS28 dental practice management software
The Add Document window: upload a file against the patient, or request one from them through the mobile app.

The Documents tab is the patient’s file cabinet — the place for scanned IDs, insurance papers, referral letters, reports and any other file that belongs with the record. You can add documents two ways: upload them yourself, or request them from the patient and let them upload from their phone.

Uploading a document

  1. Open the patient record and choose Documents, then click Add New.
  2. Give the document a Name.
  3. Choose the file. Supported types: jpg, jpeg, png, pdf, doc, docx, xls, xlsx.
  4. Submit — the file is attached and listed with its upload date.

Requesting a document from the patient

Don’t have the file to hand? Tick “Request document through mobile app” instead of choosing a file. This creates a pending request the patient sees in the CAPS28 mobile app; when they upload the file from their phone, it drops straight into this list. The document’s details show both the Requested On and the Uploaded On dates, so you can track what is still outstanding — ideal for collecting IDs, insurance cards or prior records without chasing paper.

Working with documents

  • View / download — open any document from the list.
  • Details — see the name, requested and uploaded dates.
  • Search — filter by document name.
