
The Communications tab is the complete message history for a patient — a running log of everything CAPS28 has sent them or is about to send. It answers “did the reminder go out?” and “which number did we message?” without leaving the record, and it’s where you cancel a message that shouldn’t go.
What appears here
Messages are created automatically as you work — CAPS28 logs a communication when an appointment is booked, cancelled or reminded, when a form or consent is sent, when a document is requested, and when a new patient is added. Each entry shows the channel it went through as a badge — App (the patient’s CAPS28 mobile app), SMS, Email, Call or WhatsApp — along with the target number/address, the message type and title, the full text, and the date and time.
Sent, Scheduled & Error
Three tabs split the log by delivery state:
- Sent — messages that have gone out, each with a green tick and the time they were sent.
- Scheduled — messages queued to go later (for example a reminder timed before an appointment). CAPS28 warns you here if delivery is at risk — e.g. “update the mobile number to avoid delivery failure”, or that an app notification won’t arrive because the patient isn’t using the mobile app.
- Error — messages that failed, with the reason shown in red so you can fix the number/email and follow up.
Filtering & acting on messages
- Date range — the picker (top right) narrows the log to a day, week, month or a custom span, so a busy patient’s history stays readable.
- Details — the info button on a row opens a panel with the full breakdown: created, type/title, message, status, mode, sent-on, scheduled and any error.
- Cancel a scheduled message — a Scheduled row has a delete/cancel action, so if plans change you can stop a reminder before it sends (with a confirmation).
Sending itself is driven by the clinic’s SMS/WhatsApp quota and by the automatic reminder settings — this tab is the record of what happened, and the place to catch anything that didn’t.
