
Announcements are system-wide notices that CAPS28 shows to everyone using the application — most often a heads-up about scheduled maintenance or downtime. When one is live, it appears as a red bar across the very top of every page, above the menu, so no one can miss it.
What an announcement looks like
The banner shows the message in white on red and stays on screen as you move around CAPS28. A typical maintenance notice reads something like:
“Scheduled maintenance: CAPS28 will be unavailable on Sunday between 00:00 and 02:00 IST. Please avoid using the system during this window.”
You can dismiss the bar for your current session with the × on its right, but it returns on your next visit until the notice is withdrawn. Treat a maintenance announcement as a real instruction — finish and save your work before the stated window, because the system may be unreachable during it.
Who posts them
Announcements are published centrally by the CAPS28 team, not by your clinic — there is no setting inside your Office to create one, which is why the same message reaches every practice at once. They are used sparingly, for things that affect the whole platform: planned upgrades, maintenance windows, or important service notices. When the event is over, the notice is un-published and the red bar disappears for everyone.
Announcements vs. System Alerts
Don’t confuse the red announcement bar with the red System Alert bell that can appear in the top navigation. They are different:
- Announcement (red top bar) — a platform-wide message from CAPS28 (e.g. downtime), the same for every clinic.
- System Alert (red bell in the nav) — alerts specific to your account, such as a subscription that is about to expire or an SMS/WhatsApp quota running low. Click the bell to read the details, then act on them from Subscription or the relevant setting.
In short: the top bar tells you about the platform, the bell tells you about your clinic. Both are there to make sure you never miss something important.
The System Alert bell up close
Clicking the red System Alert bell opens the System Alert window, which lists each active alert as its own card — a short heading, a plain-language explanation, and a button that takes you straight to the fix. The reminder you will see most often is about your subscription:

CAPS28 raises a System Alert automatically for the things that quietly interrupt a clinic if missed:
- Premium subscription expiring soon — shown once you are inside the notice window (a few days before the end date), counting down the days left.
- Premium subscription expired — patient management and the appointment scheduler keep working, but SMS and WhatsApp messages stop going out until you renew.
- SMS quota low or exhausted and WhatsApp quota low or exhausted — a warning while the balance is running down, then a stronger notice once the service is de-activated.
Every card carries a button — Subscription or Top-up — that links to Subscription & message quota, so you can renew or top up before anything is disrupted. The bell only appears while an alert is active, and it clears itself once the underlying issue is resolved.
