Recording an office transaction: make a payment or receive money against a sub-head, with amount, payment mode and remarks.

Once your account heads are set up, this is where you record the clinic’s day-to-day money that isn’t tied to a patient — paying a lab bill or a salary, buying materials, or receiving miscellaneous income. Each entry is filed against a sub-head so it rolls up into the right category on the Summary.

Recording a transaction

  1. Open the head from the Accounts Summary (or Manage Heads) to see its ledger, and start a new entry.
  2. Choose the Type: Make Payment (money out — an expense) or Receive Payment (money in — income).
  3. Pick the Sub-head the money belongs to.
  4. Enter the Amount.
  5. Choose the Payment Mode — Cash, Cheque, Debit/Credit Card or Online; non-cash modes capture a reference number.
  6. Add a Remark (with speech-to-text) and submit.

Pending office transactions

As with patient payments, an office transaction that hasn’t cleared the bank yet can be marked Pending and completed later, so your cleared totals stay accurate.

Seeing the whole picture

Every office transaction flows into its head’s totals and into the Accounts Summary, alongside the patient side. Filtered by date range, that gives you a running read on cash flow — what the practice earned and what it spent — without exporting anything to a separate spreadsheet.
