
Account heads are the categories your clinic’s non-patient money is organised under — the expenses of running the practice and any income that doesn’t come from a patient. Setting up sensible heads is what makes the Summary and your reports meaningful.
Heads and sub-heads
Each head is a broad category — for example Salary, Labwork, Materials, Rent, Utilities or a Miscellaneous Income head. Under a head you add sub-heads for the specific items you actually pay or receive against — under Salary you might have Dentist, Assistant and Receptionist; under Materials, Consumables and Instruments.
Managing heads
- Go to Accounts → Manage Heads.
- Click Add to create a head, then add its sub-heads.
- Edit or remove heads and sub-heads as your book-keeping needs change.
Every head appears on the Accounts Summary with its own totals received and paid, and each head has its own transaction ledger. Recording money against the right sub-head is what lets you answer questions like “how much did we spend on lab work this quarter?” at a glance.
